The last column uses one rule throughout: a standard scale model should be ordered at least 4 weeks before the first day of the expo, and a large or highly detailed model 6 weeks before. That window covers file review and quote, printing, laser-cut acrylic base and cover, assembly, packing and courier.

This calendar was checked against the organisers' own websites as of November 2026. Dates and venues can change, so confirm with the organiser before you book travel or freight. Note that the 6-week date for the Global Potato Summit is 4 November 2026. If that has passed, a large model for that event is tight, and a standard model needs ordering by 18 November. Two Surat shows are included because many Ahmedabad exhibitors take stalls there too.

Later 2027 events: expected, not yet confirmed

Several large Gandhinagar shows are expected in the second half of 2027, but their organisers have not published firm dates on the pages we checked. Treat everything below as provisional and check with the organiser.

• Engimach 2027 (18th edition): expected at the Helipad Exhibition Centre, Gandhinagar, around December 2027. The organiser, K and D Communication, shows no 2027 dates yet on its website.
• ITMACH India: listings point to May 2027 at the Helipad Exhibition Centre, with no exact dates.
• Pack Print Asia: listings suggest early June 2027, unconfirmed.
• PharmaTech Expo Gandhinagar: listings suggest August 2027, but they conflict.
• Agri Asia: listings suggest September 2027, with no dates.

Once an organiser confirms, apply the same 4-week and 6-week rule to the first day.

What to put on your stall

A stall has roughly ten seconds to answer one question: what do you make? A physical object answers it faster than a banner. Five formats work for most Gujarat exhibitors.

• Machine model: a scale model version of a machine too heavy or expensive to bring. Visitors see the layout, the feed path and the control side at a glance.
• Cutaway: a section through a pump, valve or gearbox that shows internal passages. It sells the engineering without a lecture.
• Enlarged product: a small component made large enough to read from the aisle. Ask for an enlarged version when you request a quote, and we will suggest a sensible scale.
• Plant or process model: a layout of a plant or line, useful for turnkey suppliers and project companies.
• Giveaways: small printed pieces, such as a miniature of your product or a desk item, that keep your name on a visitor's table after the show.

Pick one hero model and one or two small pieces. A single well-lit model with a clear cover usually does more than five crowded ones.

The ordering timeline, step by step

Models are made in stages, and the slowest stage sets the schedule. Laser-cut acrylic bases and covers take 7 to 14 days, longer than the printed parts, so release them early.

1. File review and quote: send drawings, CAD or photos. Our engineers review and quote within 24 h.
2. Approval: you confirm scale, level of detail and how the model is split into parts.
3. Printing: SLA resin for fine detail takes 2 to 4 days; FDM printing for larger volumes takes 3 to 5 days.
4. Base and cover: laser-cut acrylic, 7 to 14 days.
5. Assembly and packing: parts are joined, checked and packed for transit.
6. Courier: allow time to reach Gandhinagar or Surat, and a buffer for a reprint if you spot a change.

Rule of thumb: standard model, 4 weeks before the first day of the expo; large or highly detailed model, 6 weeks. Anything later is possible only by cutting detail.
